Secretary in Principal Directorate
"Pure and
Applied Organic Chemistry"
(maximal duration of contract until 31 Decembre 2010)
The
secretary to Principal Directorate PAOC assists the Principal
Director in the professional management of all of the main tasks listed
below. He/she also takes care of the information and work flow during
the frequent duty travels of the Principal Director and thus
contributes substantially to the successful management of the Principal
Directorate.
Main duties
Continuous monitoring of information
arising from telephone calls, mail and e-mail
Distributing
incoming information according to the agreed policies and procedures in
the Principal Directorate
Highlighting important
events and documents for the Principal Director
Organising
the daily meeting with the Principal Director to discuss all incoming
information.
Professional management of the
Principal Director's calendar by balancing priorities, allocation of
time needed and time buffers
Organising duty
travels (including booking flights and hotels), regular and irregular
meetings, events, customer visits
Assuring
availability of rooms, equipment, transportation
Taking
care of important administrative duties, such as the presence and
absence of Directors, holiday planning and the recording thereof
Organising the continuous, professional filing of all
documents in the Principal Director's office
Friendly
and professional representation of the Principal Director's office
towards Vice-Presidents, Principal Directors, Directors, Staff Members
and customers
The processing, administration and
distribution of all notices, presentations, and calculations with
MS-Office tools
Taking care of visitors to the
Principal Director
The recording of personnel
changes within the Principal Directorate and cooperation with the other
departments concerned
The
ideal candidate should have
in depth skills in performing all above mentioned
main duties
very good knowledge of the three official languages: English,
French and German
professional experience as secretary to a line manager
customer orientation
a rapid and precise working style
Minimum qualifications
Completed secondary education, or - in exceptional cases - equivalent
professional experience.
Working knowledge of official languages.
